What we collect and why
| Information | Purpose and lawful basis |
|---|---|
| Names, work email, organisation, role, domains and optional notes submitted in demo, sales or contact forms. | To take the steps you request, answer your enquiry, arrange a demo, or prepare a quote. We rely on steps at your request before a possible contract, and where appropriate our legitimate interest in answering genuine business enquiries. |
| Work email and company submitted to request a white paper. | To record the request, give you the paper immediately, and keep a business contact point if you contact us again. We rely on our legitimate interest in providing requested business information and understanding interest in our work. The request does not require approval and does not create a product account. |
| Work email and newsletter choice when you select the optional newsletter box. | To send the newsletter that you request. We rely on your consent. We send the email address to Brevo for newsletter delivery. Google reCAPTCHA checks the optional sign-up for abuse. You can unsubscribe or withdraw consent at any time without losing access to a white paper. |
| Work email and one-time access activity used by sign-in, recipes or downloads. | To check eligibility, secure the requested session and send the link you requested. Product entitlement remains subject to a separate product licence or contract. |
| IP address, user agent, request time, security events and rate-limit identifiers. | To deliver and secure the site, prevent abuse and investigate faults. We rely on our legitimate interests in operating a secure service and, where applicable, legal obligations. |
| Emails exchanged after your request. | To answer and administer your request. If the conversation becomes a customer relationship, later contractual and accounting records are governed by the separate product contract and applicable legal retention duties. |
| Trial and licence lifecycle email records, including schedule, delivery result, link clicks, marketing choice and staff actions. | To provide requested trial and licence service messages, manage the customer relationship, prove delivery, and respect marketing choices. Service messages support the requested trial or contract. Optional product and purchase email requires the recorded permission or another documented lawful basis that applies to the recipient. |
Required form fields are identified at collection. You are not legally required to submit a public form, but we cannot answer the requested enquiry without the required contact details. Please do not include passwords, payment-card data, special-category information, or unrelated personal data in free-text fields.
Use, sharing and automated decisions
- We use public-form information only to provide the requested resource, respond, administer the request, protect the service, and meet legal obligations. We do not add form submitters to marketing lists without a separate choice.
- Trial and licence email can be scheduled automatically. Authorised iFINITY staff can pause a flow, change permission, cancel a message, or send a selected message manually.
- Where a person has allowed marketing email, authorised staff can include that person in a campaign for iMIS clients, consultants, AiSPs, organisation administrators, or licensed teams. Permission and opt-out status are held for each email address.
- We record a click when a person uses a first-party link in a lifecycle email. We do not add a hidden tracking pixel, and the campaign editor does not permit tracking images in message content.
- Access is limited to authorised iFINITY personnel and service providers needed to host, secure and deliver the website and requested email. Cloudflare provides the website and database. Brevo receives email addresses for optional newsletter delivery. Google provides reCAPTCHA for the optional newsletter sign-up.
- We do not sell personal information. We may disclose it where required by law, to establish or defend legal claims, or during a properly safeguarded corporate transaction.
- The public forms and email scheduler do not make solely automated decisions with legal or similarly significant effects.
Some infrastructure providers operate internationally. Where a restricted transfer applies, we require an applicable UK adequacy route or appropriate safeguards and assess the transfer as required.
Retention
| Record | Retention |
|---|---|
| Public demo, sales, white-paper and information requests | Normally up to 24 months from submission or the last relevant action, unless a legal obligation, complaint or live claim requires longer. |
| Access and website-security records | Only for as long as needed to provide and protect the requested access, prevent abuse, investigate a fault or meet a legal obligation. One-time access links expire after 15 minutes. |
| Browser session storage and the download cookie | For the browser session or up to 15 minutes, as described in the Cookie notice. |
| Response correspondence | Normally up to 24 months after the last exchange, unless it becomes part of a separate contract, legal obligation, complaint, or live claim. |
We may delete information sooner when it is no longer necessary. Backups are protected and age out under the provider’s backup lifecycle; deleted data is not restored for ordinary business use.
Your rights and complaints
Depending on the processing, you may have rights to be informed, access your information, correct it, erase it, restrict its use, object, and receive portable data. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. You also have the right to complain to the Information Commissioner’s Office. Please contact us first if you would like us to resolve a concern.
AgentZ service boundary
AgentZ runs on the customer’s device and works with the customer’s chosen compatible MCP service. This public website does not receive the customer’s prompts, AI conversations or iMIS® records merely because AgentZ is used. The customer’s chosen service and any separately contracted IFINITY service are governed by their applicable terms and privacy information.

This notice covers the public website and its public forms. Licensing, billing, support and other commercial records are governed by the applicable agreement and privacy information. See our Privacy centre for a concise summary. We will update this page when the public-site processing changes and show the review date above.
